Contacts view
The Contacts view lists all contacts added to LianaMailer. In the view, you can search and filter contacts, view and edit their details, and make changes to several contacts at once.
Searching and filtering contacts
You can search for contacts by name or email address, or part of either, in the search field.
Filters narrow the view down to exactly the contacts you need. You can pick filters quickly from the drop-down menus above the table (List, Status, Engagement and Consent). All filters are also available in one place when you click Filters, which also includes the Delivery issue filter. Your choices take effect when you click Apply filters.
The following filters are available:
- List: under Include lists, choose the lists whose contacts are shown. Under Exclude lists, choose the lists whose contacts are left out.
- Status: Subscribed (contacts who can receive messages) or Blocked (contacts who have been blocked from receiving messages).
- Engagement: Active in last week, Active in last 3 months or Inactive for 12 months. Engagement is based on when the contact last opened a newsletter or clicked a link in it.
- Delivery issue: Hard bounce or Spam report. When you choose a delivery issue, columns showing the number of issues and the latest occurrence are added to the table.
- Consent: under Has consent for, choose the consents a contact must have. Under Does not have consent for, choose the consents a contact must not have.
For lists and consents, you can choose whether Match any or Match all applies. Across different filters, a contact must meet all conditions.
Example: if you include lists A and B and choose Hard bounce as the delivery issue, you see contacts who belong to list A or B and whose address messages cannot be delivered to.
Your filter choices are saved in the browser address. You can copy the address to share the same filtered view, for example with a colleague.
You can clear all filters at once with the Clear button in the Filters view. You then see all contacts again.
Editing visible columns
You can choose which contact details are shown in the table directly in the Contacts view.
- Click Edit columns in the top-right corner of the Contacts view.
- On the left side of the dialog, choose the properties you want to show. You can search for properties or select them all at once.
- Check the selected columns on the right side. You can remove a column by clicking its cross.
- Save your choices by clicking Save columns.
There are two kinds of properties to choose from:
- System properties: email address, SMS number, consent and date added. These are always shown.
- Contact properties: properties added to your account, such as first name and last name.
Changing several contacts at once
Bulk actions let you make the same change to all selected contacts at once. Select contacts using the checkboxes on the table rows. Then open the menu that appears above the table showing the number of selected contacts (for example 2 selected), and choose an action.
- Status: Subscribe, Block or Forget. Blocked contacts no longer receive newsletters or email messages. Forgetting removes contacts permanently and cannot be undone.
- List: Create a list, Add to list or Remove from list. Contacts removed from a list stay in the register and on their other lists.
- Consent: Grant consent or Revoke consent. Contacts who already have the consent keep their original date. The Consent menu is shown when grounds for sending are enabled on your account.
- Download in Excel format: downloads the selected contacts as an Excel file. The file contains the same fields as the table, unless you choose the fields yourself.
Please note:
- You can select all contacts matching your filters at once with Select all N contacts. In that case, the Status actions Block and Forget and the Excel download are available. List and consent actions are available when you select contacts on the page.
- Blocked contacts are skipped when contacts are added to a list or a new list is created from them.
- The difference between removing from a list and blocking: a contact removed from a list can still receive messages through other lists. A blocked contact receives no messages from any list.
Creating a new list from selected contacts
You can build a new mailing list directly in the Contacts view without preparing and importing an Excel file. This works well for a one-off audience, such as a pilot group or event guests.
- Narrow down the view with search or filters if needed.
- Select the contacts for the list.
- Open the selected contacts menu and choose List → Create a list. Give the list a name and confirm by clicking Create list and add contacts.
The new list can then be found on the Lists page.
Adding contacts and viewing their details
You can add contacts with the Add contacts button in the Contacts view. Choose Add single contact, or Import contacts if you want to import them as a CSV file, for example from an Excel spreadsheet. When adding a single contact, enter an email address or phone number and choose the lists the contact is joined to. Choosing a list is not mandatory, but remember to choose one: contacts that do not belong to any list are removed automatically. When you import contacts, you always start by selecting an existing list or creating a new one. You can find more detailed instructions in the article Adding subscribers.
Note: Contacts that do not belong to any list are removed automatically after 7 days. A contact can end up without a list, for example, when its only list is deleted.
Forgotten contacts
Forgotten contacts are now in a view of their own under Settings → Forgotten contacts. There you can download the email addresses of contacts forgotten in the last 30 days.
A forgotten contact has requested removal of all their personal data. Information about forgotten contacts is kept for one month. You can find more information in the article Delivery ban, forgetting a subscriber and downloading data.
