Adding a list
To add a new mailing list, click the Add a list icon. Then choose whether you want to add a normal list, or a dynamic list.
Give the list a descriptive name in the window that opens. Click Add a list.
List information
The information you can give when adding a list:
List name
The name of your chosen list. You can also modify the name in this view
List description
You can describe the list in the provided field if you wish to. For example, how the list has been or is collected might be useful information in the future. This description is not mandatory.
Can be subscribed to
This setting defines whether the list can be subscribed to by using a form on the website.
Customized site
With this setting, you can choose which website manages the list subscriptions and cancellations. Mainly this setting is managed in the website settings. Ask our support team for more information before changing this setting.
Folder
If you want to move your list to a folder, choose the folder here.
After completing, press save.
Imports
On the Imports tab, you can import subscribers from your computer in Excel or CSV format.
Choose columns to import
If the list contains information other than email addresses, the Choose columns to import window will open before the import starts. In this window, choose the columns you want to import from the file. These columns will later appear in the settings as subscriber properties.
If a column name is incorrect, you can map it to a previously imported column. If the column does not already exist, select Add as new property from the drop-down menu.
Note: Email addresses are always imported into the column named email.
Note: Field name ID is reserved for system use and cannot be used as a column name in importing.
If desired, you can clear the existing mailing list before importing. Please note that this action cannot be undone.
Finally, click Start upload. During the upload process, you can leave the view and the upload will continue in the background. Once the file has been uploaded, you will see the successfully imported and rejected subscribers.
The Rejected list shows the addresses that could not be imported into the system for one of the following reasons:
Cancelled subscriber
The subscriber has unsubscribed from the newsletter.
Subscriber limit exceeded
The account’s subscriber limit has been exceeded, and therefore the addresses could not be imported. New subscribers cannot be added to the account until the subscriber limit is increased or existing subscribers are removed. You can still create multiple lists, but you cannot add new subscribers to them until the limit issue has been resolved. Please contact our support team or your contact person for assistance.
Invalid email / Corrupted row
A subscriber could not be created from the imported row. For example, the row did not contain a valid email address.
Domain not allowed
Sending to the domain has been blocked.
Subscriber already exists
The same email address appeared on the imported list multiple times, or it already exists among the account's subscribers. Therefore, no new "dublicate" subscriber information will be created. (However, the address will still be added to the imported list, and you can verify this by exporting the list members via the Exports tab.)
OR
The phone number of the subscriber being added already belongs to another subscriber. You can check this in the Subscribers section by entering the phone number into the search field. If a result is found, the number already belongs to another subscriber. In this case, import the new subscriber into LianaMailer without the phone number information.
Forget me
The subscriber has requested that their data be removed. No newsletters can be sent to the subscriber unless they subscribe again through a newsletter subscription form.
Subscriber removed due to inactivity
The subscriber has been removed, for example due to repeated delivery failures. If the address is known to be valid, it can be reactivated in the Subscribers section of LianaMailer by searching for the address and clicking the three-dot menu on the right side of the subscriber entry. Select Activate subscriber from the menu. If the subscriber cannot be found, they can be added again from the same Subscribers section using the Add new subscriber function.
You can add a consent for sending either at this stage or on the Grounds for sending tab. If you add the consent during the upload process, it will only apply to the addresses imported during that specific upload. If the consent is added on the Grounds for sending tab, it will also apply to subscribers who are already on the list.
Exports
On the Exports tab, you can download onto your computer all active subscribers, all who subscribed via the website, and all who unsubscribed. You can also choose what subscriber data you want on the file by checking the box for Include only selected fields and choosing the fields from the menu that opens.
Grounds for sending
When you have defined grounds for sending on the Settings page, you can now add them to lists if you want the same grounds for sending for an entire list.
| 1 | The chosen grounds for sending will be added to all the recipients on the list. Grey fields mean that you don't have any localizations for the grounds for sending and therefore grounds for sending cannot be chosen. |

Deleting a list
Activate the list you want to delete on the Lists tab by clicking it once and choosing Delete list button.
Importing a list into an existing mailing list
To add subscribers to an existing list, start the import by clicking the name of the desired list on the main Lists page. On the page that opens, select the Imports tab. Click the Select file button and then select the file containing the email addresses from your computer. From this point onward, you can follow the instructions on this page starting from the Select fields to import section. Imported rows are downloadable for three months after which they are deleted from the system.
Good to know
If the list contains other information in addition to the email address, row 1 must contain the column names (see the sample list). Always name the email column Email and the mobile phone number column SMS, if applicable. The address list can also contain other named columns, such as address, name, and gender.
If the Excel file contains multiple sheets, only the contents of the first sheet will be imported into the system. In this case, cut and paste the subscriber data onto the first sheet or save the data as separate files before uploading them to LianaMailer.
When importing CSV lists, the operating system's list separator must be a semicolon (;), which is the default setting in Finnish-language operating systems. If importing the list does not work on your system, check the setting in your operating system (Windows: Start -> Control Panel -> Regional and Language Options -> Customize this format -> List separator).
If importing an Excel list fails or an error occurs during the import, try saving the list again in CSV format (.csv) in Excel and then importing the file again.
